What RFID document tracking solves

Many organizations still manage physical records: signed originals, legal folders, medical records, government files, contracts, quality paperwork, and archive boxes. The challenge is knowing where the physical item is and what happened to it.

RFID can support misplaced-folder searches, file check-in/check-out, department movement, archive inventory, and chain-of-custody event capture when the workflow and software are designed for those events.

Tagging

How a document or file is tagged

A passive RFID label or inlay is attached to the file, folder, jacket, record packet, or archive box. The RFID tag carries an EPC or other identifier that is associated with the physical record in software.

The tag placement should consider shelf orientation, folder density, expected reader angle, label durability, and whether human-readable information also needs to appear on the label.

Printing

RFID printing and commissioning

An RFID printer can print human-readable information, encode RFID data, and associate the new identifier with the document record during the commissioning process.

The process still needs validation. Encoding, association, duplicate handling, and exception review should be designed instead of assuming every label operation is perfect.

Search workflow

Finding misplaced files

A handheld RFID reader can help locate a tagged file by detecting nearby tags and giving feedback as the reader gets closer. This is often useful when a file is on the wrong shelf, in a nearby cart, or mixed into another group of folders.

Passive RFID tags do not continuously broadcast pinpoint location data. The reader must be brought into range, and the search result depends on tag placement, file density, shelf material, and the operator's scan technique.

Movement events

Fixed read points for check-in, check-out, and transfers

Fixed RFID readers and antennas can be placed at room entrances, archive transfer points, service counters, or processing stations. Software can then record movement events as tagged files or boxes pass the read point.

For custody workflows, the system must also define who initiated the movement, what event is being recorded, and how exceptions are reviewed.

Inventory

Shelf and archive inventory

RFID can make physical inventory more practical when many folders or boxes need to be checked. Read performance still depends on orientation, file density, shelf material, tag placement, antenna pattern, and handheld technique.

Custody

Chain-of-custody support

RFID can support chain-of-custody logs when software records the required movement, user, timestamp, location, and exception events. Applying RFID labels does not automatically create regulatory compliance.

Barcodes may still be enough for many records workflows. RFID becomes more valuable when files are hard to find, bulk inventory matters, or movement events need less manual scanning.
